Tone of voice
Also called brand tone, tone
What is tone of voice?
Tone of voice is the way a brand's words sound in a particular piece of communication: formal or casual, playful or serious, urgent or calm. It adapts to the channel, the audience and the moment, while the underlying brand voice stays the same. Many companies use the term for their whole writing style.
Writers often map tone along a few scales, such as formal to casual, serious to funny, respectful to irreverent, and matter-of-fact to enthusiastic. A brand picks a home position on each scale and notes when to move: a launch post can be more excited, an apology should be plainer and more serious.
In the UK and Europe, "tone of voice guidelines" is the common name for what US teams often call a voice and tone guide. They cover the same ground.
Why tone of voice matters
The wrong tone can undo a good message. A jokey reply to a complaint or a stiff, corporate caption on TikTok tells people you are not listening. Matching tone to the situation keeps the brand human and appropriate.
Consistent tone also helps brand recognition in places where visuals are absent, such as emails, comments and DMs.
How to set a tone of voice
- Choose where your brand sits on scales like formal-casual and serious-funny.
- List the situations you write for: social posts, ads, support, announcements, bad news.
- For each, note how far the tone should move from the default and why.
- Add one short example per situation.
- Review a sample of real posts each quarter to check they still match.
Tone of voice FAQ
What are the four dimensions of tone of voice?
A widely used model rates tone on four scales: funny to serious, formal to casual, respectful to irreverent, and enthusiastic to matter-of-fact.
Can a brand have more than one tone?
Yes. A brand should have one voice but adjust its tone. A support reply and a launch post can sound like the same company while carrying different energy.
